THE DECISION IN BRIEF
Our team approved an oil-sprayer sample informally; what must be recorded before we place the purchase order?
Identify the exact approved assembly, formula and bottle, attach the evaluation evidence and list outstanding conditions. Use the same references in the quotation and purchase order, with an agreed change-review process.
Replace 'same as sample' with traceable references
An approval message is difficult to reproduce if the sample bag contains several similar pumps. Before ordering, assign a reference to the approved physical assembly and photograph it alongside its label. Connect that reference to the supplier's configuration description. Record who made the approval decision through your normal internal process without inventing a technical endorsement.
The record should distinguish performance approval from commercial release. A package may spray acceptably while a bottle finish drawing or a contact-material question remains unresolved. List those conditions explicitly and assign an owner. An attractive sample should not silently close questions that nobody evaluated.
Capture the assembly and its boundaries
Include the formula revision, bottle specification, closure configuration, tube reference, actuator and decoration where relevant. Record filling and assembly information used for evaluation. A change in bottle supplier can matter even when the printed capacity stays the same, so use the actual bottle reference rather than a generic description.
For SP-LP-200, record the confirmed PP, PE and POM components, 304 stainless spring, PP tube and double-layer seal design. Obtain confirmation for unresolved construction details. Neither a materials list nor an oil-resistant product name establishes suitability for every formula. The bottle thread and output need their own confirmed entries; body drawing diameters cannot supply them.
Make evidence easy to review
Attach a compact evidence index rather than pasting an unstructured photograph archive into an email. Each observation should identify the samples, conditions and evaluation method that produced it.
| Record item | What to preserve | Why it matters later |
|---|---|---|
| Baseline | Initial fit and dispensing observations | Shows the starting condition |
| Storage review | Conditions, sample identities, findings | Defines the evidence boundary |
| Use evaluation | Method, users or operators, observations | Connects approval to the task |
| Distribution review | Package configuration and findings | Identifies the evaluated shipping assembly |
| Decision | Approved references, exceptions, owner | Prevents assumptions at reorder |
Write a useful approval statement
A practical approval statement identifies what was accepted and what it was evaluated against. For example, describe a candidate as approved for the identified formula and bottle under the recorded evaluation plan, with listed conditions closed. Avoid an unqualified sentence such as 'approved for oil.' It conveys more certainty than the evidence supports.
Aptar's PZ1 information explicitly connects package-test results to container and formula variables. That supports keeping the filled assembly identified in your record. It does not establish any testing result or certification for the STDPAK package, and a competitor's published claim must not be included as your own evidence.
Carry approval into the production order
Reference the controlled specification in the quotation and purchase order. Agree how substitutions, drawing revisions and formula changes will be communicated and reviewed. Retain approved samples where the receiving team can compare later deliveries, and define which discrepancies require investigation before release.
Confirm when the lead-time clock begins and whether outstanding approvals affect it. A complete technical record helps purchasing obtain a meaningful quotation and helps the next reorder reproduce the accepted package.
Give the evidence index a clear storage location accessible to quality and purchasing. A sample approval locked in an individual inbox is easily lost when staff or suppliers change. Link the order reference to the controlled record so later deliveries can be checked consistently.
