THE DECISION IN BRIEF
We sent a close-up photo but the supplier still asks for information. What is missing?
A useful report shows the defect, the whole assembly and the conditions in which it appeared. Keep the affected sample intact and give it an identity that survives the email chain.
Build a small evidence set
Include an overall photograph, a focused detail and a comparison with the approved or unaffected reference. Use similar lighting for appearance comparisons. A very close crop may show a mark clearly while hiding which part it belongs to.
Label files with the sample identity and observation, rather than only a phone-generated filename. Keep lot, carton, bottle and component references in the report. Do not place unnecessary personal or confidential customer information in photographs sent outside the company.
Describe the event rather than the assumed cause
State when the issue appeared, what action preceded it and whether it repeats. For example, liquid first visible beneath the closure after standing is more useful than bad gasket. Include the formula or application information through the agreed technical channel.
Record how many units were examined and how many showed the observation, without treating that count as a statistical claim for the entire shipment. Note any tightening, cleaning, disassembly or other intervention already performed on the sample.
Agree the next evidence step
Ask whether intact returns, a controlled comparison or additional photographs are needed. Retain agreed local references before dispatching material. A replacement offer may resolve supply urgency while the cause remains open; document those as separate decisions.
Keep the accepted corrective action with the original sample identity and a follow-up result. That link makes a repeat complaint easier to investigate. A folder full of sharp photographs is less useful when nobody can tell which assembly or event each photograph represents.
