Request Packaging Compliance Documents by SKU and Market

Build a document request around the exact materials, use conditions, and destination instead of asking for a generic certificate.

THE DECISION IN BRIEF

A supplier says the packaging is FDA approved. What evidence should we request?

Ask for the exact SKU, material construction, intended use, and applicable regulatory basis. Review supporting documents for the target market instead of accepting a generic approval claim.

Define the application that the documents must cover

Begin with a short use description: product category, relevant formulation, contact duration, filling and storage conditions, and destination markets. Identify the exact pump, stopper, or lid SKU and revision. For a multicomponent item, request information about the relevant contacting parts, including treatments, seals, coatings, and liners. A declaration for the main resin does not by itself describe the complete assembly.

Avoid asking for every certificate a supplier has. That often produces a large file with little connection to the proposed package. A site quality certificate may help assess a management system but does not demonstrate that a particular decorated lid or pump is suitable for your formula. Build a document matrix that shows the purpose and scope of each requested item, along with who will review it.

Build a targeted document matrix

Treat missing scope as an open question. Do not rewrite a supplier’s document yourself to make it appear applicable to a different material, SKU, or destination.

Understand what the official frameworks actually say

FDA explains that food-contact material status depends on the substances comprising the article and their applicable authorizations. It also notes that an effective Food Contact Notification is specific to the identified manufacturer, substance, and conditions of use. Ask the supplier to identify the basis relevant to your item and use; a notification for a similar substance from an unrelated source is not interchangeable evidence.

For EU food-contact applications, Regulation (EC) No 1935/2004 addresses traceability and provides the framework for declarations under applicable specific measures, while allowing relevant national provisions. Determine which material-specific and market requirements apply with the responsible regulatory specialist. Do not assume that one standard declaration format or one migration test automatically covers every pump, cork, metal coating, or destination.

Review evidence separately from physical performance

A report should identify what was tested and under which conditions. Compare the article, color, contacting layers, and intended use with your purchase specification. Ask whether the document remains applicable after a supplier changes material, treatment, liner, or manufacturing source. Where information is confidential, arrange technical review through an appropriate channel rather than accepting an unsupported assurance.

Keep functional compatibility and regulatory review as separate gates. A leak-free bottle does not establish compliance, and a material statement does not establish acceptable dispensing or sensory performance. Food-contact evidence also should not be casually transferred to cosmetic, pharmaceutical, or other applications with different responsibilities. Describe the actual category and market so the appropriate team can assess the evidence.

Release the order only when the required documents are reviewed or any outstanding items have an explicit, authorized disposition. Archive the accepted evidence with the SKU revision and supplier identity, and establish when changes require renewed review. STDPAK’s quality and contact pages can support the document discussion, but request actual available evidence for your proposed configuration. Do not describe unprovided reports as certificates already held or claim blanket approval for all products.

KEEP THIS WITH THE SAMPLE

For your buying brief

  • Request documents for the exact SKU, materials, use, and market.
  • Check scope and source rather than accepting generic approval language.
  • Keep documentation review distinct from compatibility testing.
