THE DECISION IN BRIEF
We need part of the order urgently. Can the balance follow later without another review?
It can be scheduled separately, but every release must remain traceable to the accepted specification and any authorized differences. Shipment timing is not permission to substitute construction or mix revisions.
Separate the delivery plan from the specification
State which quantities and lines go in each shipment, the agreed pack counts and the required references on the cartons and documents. If the first release uses a concession, identify whether it applies only to that release or to the whole order.
A verbal promise to send the same item later is difficult to inspect. Retain the acknowledged specification and approval reference for both releases, especially when the balance is produced after a long gap.
Protect comparisons at receiving
Keep lot and shipment identities when the goods arrive. Do not mix components from the two releases before the receiving decision is made. If the balance differs in shade, fit or operation, compare it with an identified retained sample rather than whichever loose part is nearest.
Record storage history for the early release if it waits for the balance before filling. The first shipment’s arrival condition and later condition are different observations, and responsibility should not be guessed after the stock has been combined.
Close the order by release
Reconcile accepted quantities, held material, replacements and any remaining commercial obligations. Make substitutions and deviations visible in the order record. A delivery note with the correct total does not establish that every technical line was fulfilled.
Before the balance ships, confirm the remaining quantities and technical references again. If anything has changed, obtain a recorded decision rather than allowing the delivery schedule to determine the specification. Keep the two receiving histories available when the order is reconciled.
